Recovering Historical Calls and Recordings During a Communications Migration
When a vendor’s own archive process stopped reliably completing, USTech.Ninja built a recovery workflow to preserve historical call activity and recordings — and reconnect them to the right CRM records without creating bad associations.
A vendor-provided archive process was not reliably completing its synchronization into cloud storage during a communications-platform change.
A recurring, scripted catch-up process recovered historical call logs and recordings and safely matched them back to CRM records.
Hundreds of historical call records and recordings were recovered and consolidated without creating bad CRM associations.
Client / Industry
A business changing communications workflows that needed historical call activity and recordings preserved through the transition.
Challenge
The vendor-provided archive process was not reliably completing its synchronization into cloud storage, creating gaps in the historical record. Historical communications also had to be connected to the correct CRM records without creating bad associations.
Approach
- Investigated archive failures; logs pointed to failures on the communications-platform side rather than a local storage problem.
- Performed historical catch-up work to recover missing historical communication records rather than accepting gaps in the archive.
- Built a recurring scripted archive/catch-up process, since the vendor’s normal process remained unreliable.
- Attached historical activity to CRM records only where an existing contact could be safely matched, and avoided unsafe enrichment where matching information was insufficient.
- Consolidated recovered recordings into the business’s controlled storage environment.
Implementation
The recovery work ran across repeated catch-up passes to address ongoing archive gaps, covering hundreds of historical call-log records and hundreds of recovered and consolidated recordings over the course of the project.
What Changed
Before: a vendor archive process was silently failing to synchronize historical communications, risking permanent gaps in the business’s call history.
After: a recurring recovery workflow closes those gaps and keeps historical activity correctly linked to CRM records.
Verified Outcome
The client avoided losing part of its communications history simply because a vendor-provided archive process was unreliable, and reduced dependence on a single vendor’s retention mechanism.
We describe scale in general terms (hundreds of records and recordings) rather than citing a single precise count, since recovery occurred across multiple catch-up passes.
Strategic Takeaway
Business continuity is not just “we have backups.” It also means verifying that SaaS platforms are actually preserving the business records they are supposed to preserve.
