For years, I have intentionally built USTech.Ninja to be affordable. When I started this journey, I didn't want to be just another faceless IT firm sending out incomprehensible invoices for "mystery minutes." I wanted to be a partner for small businesses: the kind of partner that helps you grow without making every single phone call feel like a transaction.
I’ve spent a lot of time experimenting with different ways to bill for our time. I’ve tried hourly overages, prepaid time blocks, strict usage limits, and just about every other model in the book. If you’ve followed our blog for a while, you might remember my pricing lessons from dance studios, where I talked about how those experiences shaped my view of small business strategy. Eventually, I settled on something much simpler: predictable flat-rate service with a reasonable fair-use policy.
The goal was simple: make support predictable, reduce billing friction, and help clients without every interaction becoming a financial calculation. But as we look toward the future, the numbers eventually have to work.
The Reality of the Flat-Rate Model
In practice, our flat-rate model has often meant going far beyond the included support time without immediately charging more. Every few months, I review utilization and address the most extreme cases rather than nickel-and-diming clients for every additional 15 minutes. We pride ourselves on enhancing daily efficiency for our clients, but that efficiency requires a sustainable foundation.

Lately, though, the gap between "fair use" and "actual use" has grown wider. Many of our clients regularly consume two, three, or even four times the support time included in their plan. This isn't just about a few extra emails; it’s about the shadow usage of IT resources: those hidden support needs that arise from multiple devices, complex cloud integrations, and the ever-evolving threat landscape that requires constant vigilance.
When we look at our current rates and compare them to the actual hours spent on these accounts, the math becomes startling. At our current pricing, high-utilization clients can reduce the effective value of our technical time to roughly $20–$40 per hour.
Why $20–$40 Per Hour Doesn't Work
To someone outside the industry, $40 an hour might sound like a decent wage. But USTech.Ninja isn't just a guy with a laptop. We are a managed service provider (MSP), and that $40 has to cover a lot more than just a paycheck. Before we even take home a cent, that revenue has to account for:
- Security Software: High-end malware detection for business networks and EDR tools.
- Monitoring Infrastructure: The 24/7 "eyes-on-glass" systems that catch problems before they break your business.
- Contractors & Staff: Professional engineers who are experts in their fields.
- Administration & Insurance: The boring but necessary costs of running a compliant, protected firm.
- The Responsibility: We take on the security exposure for your entire organization. That is a heavy weight to carry.
When the effective rate drops that low, it becomes unsustainable. It limits our ability to invest in additional staff, better coverage, stronger security tools, and the lightning-fast support you’ve come to expect. We want to provide the real cost-saving benefits of an MSP, but we can't do that if we are undervalued.

Addressing the "Shadow Usage"
The term shadow usage refers to the support burden that isn't always visible on the surface. It’s the employee who has three different devices that all need syncing, the "quick" software update that turns into a four-hour troubleshooting session, or the constant background work we do to ensure your data stays secure.
We’ve always encouraged the power of detailed support tickets because they help us track these trends. What those tickets are telling us now is that the modern business environment is simply more complex and demanding than it was a few years ago.

To keep our service levels where they need to be, USTech.Ninja will be adjusting our pricing to move closer to current market rates. Our services will still remain competitively priced for everything we include, but the new rates will better reflect the time, responsibility, and security exposure we take on for our clients.
Staying True to the Mission
I want to be clear: I still strongly prefer predictable flat-rate service. I have no interest in arguing about every overage or forcing you to purchase "blocks of time" like you're buying minutes for a 2004 flip phone. This change is intended to preserve that flat-rate model while making it sustainable enough to continue delivering the level of support you expect.
When a major security threat emerges or a client faces a critical outage, it is all hands on deck at USTech.Ninja. We don't stop until the job is done. But to maintain that level of readiness, the business must be healthy.
I’ve always aimed to be the "Personal Ninja" for my clients: the stealthy, expert support that keeps things running smoothly in the background. If you were to look at an ultra-realistic image of what our daily operations look like, you'd see a team that cares deeply about your success. To keep that team focused and equipped with the best tools in the industry, this adjustment is a necessary step.

Change is rarely easy, but transparency is the foundation of the relationship we have with our clients. I’m not interested in corporate sugarcoating or hiding behind vague language. The numbers have to work so that we can keep working for you.
Affordable should not have to mean undervalued. By moving our rates to a sustainable level, we ensure that USTech.Ninja remains a strong, capable, and responsive partner for years to come. We are investing in our future so that we can continue to protect yours.
