Prerequisites:
- Access to your Microsoft 365 and Gmail accounts.
- Outlook installed on your computer.
- A stable internet connection.
Step 1: Set Up Gmail in Outlook
- Open Outlook: Launch the Outlook app on your computer.
- Add Gmail Account:
- Navigate to “File” > “Add Account.”
- Enter your Gmail email address and click “Connect.”
- Follow the prompts to sign in and grant access to Gmail.
- Gmail will now appear in the left sidebar.
Step 2: Transfer Emails from Microsoft 365 to Gmail
- Select All Emails:
- Expand your Microsoft 365 account in the sidebar.
- Click on the “Inbox” or any other folders you want to transfer.
- Press “Ctrl + A” (Windows) or “Cmd + A” (Mac) to select all emails.
- Copy Emails to Gmail:
- Drag and drop all selected emails into the corresponding Gmail folder in the sidebar.
- Repeat for any other folders you wish to transfer.
- Wait for Sync:
- Allow some time for emails to sync. This might take a while if there are a lot of emails.
- Check Gmail to ensure the emails have been copied successfully.
Step 3: Transfer Contacts
- Export Contacts from Outlook:
- In Outlook, go to “File” > “Open & Export” > “Import/Export.”
- Select “Export to a file” and click “Next.”
- Choose “Comma Separated Values” and click “Next.”
- Select your contacts folder under Microsoft 365 and click “Next.”
- Save the file to your computer and click “Finish.”
- Import Contacts into Gmail:
- In Gmail, click the Google Apps icon > “Contacts.”
- On the Contacts page, click “Import” from the left sidebar.
- Select the exported CSV file and click “Import.”
Step 4: Transfer Calendar
- Export Calendar from Outlook:
- In Outlook, go to “File” > “Open & Export” > “Import/Export.”
- Select “Export to a file” and click “Next.”
- Choose “Outlook Data File (.pst)” and click “Next.”
- Select your calendar and click “Next.”
- Save the file to your computer and click “Finish.”
- Import Calendar into Gmail:
- Go to Google Calendar and click the gear icon, then “Settings.”
- Click “Import & export” in the left sidebar.
- Under “Import,” select the exported file and choose the destination calendar.
- Click “Import.”

- Data Size: Large amounts of data may take time to transfer.
- Verification: Double-check Gmail and Google Calendar to ensure data has transferred correctly.
